organization 101 | calendars

i'm a planner and i love efficiency. this means that i love lists & calendars. in fact, i have 5 calendars. that probably sounds like overkill and maybe it is. but they extremely help me keep track of things.


i'm a sole believer in "if you fail to plan, you plan to fail" because if i don't keep some sort of organization, things just won't get done. i called this organization 101 because i like catchy titles! but this is really just me sharing how i do things - which most of the time is way too structured for most people! but maybe you'll enjoy reading about all my crazy calendars anyway!

o1; work calendar - it's very handy because it's on my work email and pops up notifications when i have something scheduled on my calendar. sometimes i am in the middle of working on something and lose track of time. if there's a meeting at 2, i will get a notification at 1:45 so i am reminded i need to be somewhere soon. i can also choose for a notification to be sent whenever - sometimes i will tell it to notify me that morning just so i will remember it when planning my day.

o2; desk calendar - this is a paper calendar i have sitting on my desk at work and it's actually pictured above. i have a few things for work written on here - just so i can easily glance and plan ahead for them. i also keep track of commitments that me & Thomas have - church meetings, dentist appointments, passport to fun dates, family lunches, anniversary trip, etc. this is the calendar i see the most & so it holds all the important stuff on it.

o3; phone calendar - this is basically my to do list. i set things in my phone calendar to remind me to do certain things. a lot of the time, i end up moving it to the next day or next week once i see what my schedule is like. but it reminds me everytime i see it that i need to get it done soon. i also put things like doctors appointments on here. if i have a dentist appointment on a Monday, i set a reminder on my phone sometime Sunday. that way i can plan ahead to take my toothbrush to work the next day!

o4; meal calendar - i keep this in excel because it's flexible. scratching out things constantly bugs me, so i keep flexible calendars in excel.  i basically draft out meal ideas for each month & then base grocery lists off this. i don't do much with this calendar, but it helps me to plan meals. our grocery shopping list has a weekly calendar on it, so we write our meals there as well so they are on the fridge and we can see them each week.

o5; blog calendar - this one is also in excel & it is color coded. i have each month of the year on a separate tab. i put a running list of post ideas in a column to the right of the calendar. i also keep a list of my sponsors on each month's tab, and ideas for my group feature posts. i fill in preliminary post topics for each week and move them around as i need to. i keep the preliminary posts white. once i finish a post and schedule it, i change it to blue. and once a post is actually posted, i change it to pink. there's really no reason to do this last one other than i like color. :)

I have yet to transition to new-fangled electronic calendars of any kind. :) We have our wall calendar in the kitchen where Angel writes what days he works since it's different every week, and what commitments we both have. Then I have a little notebook calendar from the dollar store that I plan blog stuff in and write my to do lists in.

  2. I'm not an organized person. Ha. I do use my iPhone calendar to send myself reminders, and to put the big things like what we're doing this week. And I have a blog calendar in my notebook, but I'm pretty sure it's nowhere near as organized as some people! I tend to feel boxed in by organization.... the opposite of what it's supposed to do right?

  3. I have a paper planner and use my google calendar on my phone, plus a blog planner, but I've been considering combining everything into one because I keep missing things. I'm afraid I'll become overwhelmed though. I guess I won't know til I try!

  4. LOVE calendars and planners.
    I ended up designing my own printable planner that catered for my work life, ministry and spiritual life with the bonus of a meal planner (sometimes, you just need to see your *whole* week on one page!

    i have my day planner and EVERYTHING goes into that.
    but i admire your ability to keep up wit hall of those calendars lol

  7. I love using planners and calendars, they just help so much! Plus, I love writing things down and being able to mark them out. I have one calendar that I use for pretty much everything. The only requirement that I have for my planners is that they HAVE to be a monthly layout and have big squares so I have room to write. I also use my phone a lot, just because it is always with me and easy to add to! In this post, I wrote a little bit more on how I organize my calendar.   8. lol! i definitely love paper calendars! but i am getting more obsessed with Excel these days since i use it so much for my job! i love having a paper calendar that both spouses can see though so we know what is going on each week!

  9. well i am TOO organized! :) i love the iphone calendar so much because i would forget things too easily! i can totally see how organization would box you in though! sometimes i feel like that too and just don't keep up with stuff!

  10. i miss things all the time! even though i have like a million reminders lol i can see how one calendar for everything could be overwhelming, but it would also be nice to just see everything all in one glance!!

  12. lol! i do not blame you one bit! i drive myself crazy sometimes with everything! i used to have it all in one calendar and it was just a hot mess! :) i'm a perfectionist too so i just couldn't handle the overload! but i think most normal non-crazy people only have one calendar :)

  13. i think it's mainly due to my brain just cannot remember anything anymore! and i over organize to make sure nothings gets missed! but i definitely go weeks without using the meal calendar or blog calendar sometimes!

  14. i do too! and if something starts looking messy - i will rewrite it! just to mark it off! lol yes i so agree!!! i have to have big boxes so i can fit everything in! but; i also love the phone calendar because i will definitely see it at some point during each day! :)

  15. I definitely love some organization! I use a combo of a paper calendar and my gmail calendar. I like the idea of using an excel doc for organizing your blog!

  16. organization is the best! :) my google calendar has saved me a lot of times & i love it so much!! i never thought of using excel before, but it's SO easy to create a calendar in it!! and then you can just copy the template to different tabs for different months!

  17. I love the idea of putting to-do's in your personal phone calendar - so helpful! I live on my phone (don't we all these days?) so I've been looking for a good app to keep my blog editorial calendar on, any suggestions?

  18. for real! i look at my phone so much during the day - a calendar notification there is genius!! there is actually an app for iphone users called "editorial calendar app" that is free! i haven't used it, but have heard good things! apparently you can schedule emails and posts from it - and scan documents to it!
